The Accessibility team primarily uses a private channel between leadership in MAGFest Slack for administrative communications. but we also have a private channel for all Accessibility staff and another for all staff to access, listed below.

Shift Resources
Pre-Event
Department leadership works during the off-season to coordinate with other departments, attendees, and contractors to ensure the smooth operation of our event.
Other Departments
- We work to identify accessibility concerns and find solutions within the event space as well as the digital space. We evaluate space layouts, plan for interpreters, and ensure staff and volunteers are informed of best practices with regard to accessibility and inclusion.
- Working with the hotels team, we also provide gender neutral restrooms in the event space.
- Digital accessibility includes provision of guidance for font and color schemes on public facing media.
Attendees
- We field attendee emails for months leading up to the event. This ranges from general event inquiries to requests for ADA hotel rooms and at-event accommodations. We use our best judgment to provide answers, resources, and connect people with other departments if needed.
Contractors
- We utilize professional interpreters during our event. We work with the agency to identify the specific people who will work our event, and provide them with the information they need to more effectively provide their service. Guests, including musical acts, can proactively request ASL interpretation service for their content, and we work to facilitate that.
- We also work with a wheelchair rental company to provide at no additional cost manual wheelchairs for attendees who need them during our event. We aim to expand mobility device offerings in the future.
At-Event
The Accessibility department has two physical spaces at Super MAGFest - our Accessibility Desk and the Quiet Room.
Accessibility Desk
Location: Hallway desk just before Expo E/Registration
Hours: Thursday 10a-12a, Friday & Saturday 8a-12a, Sunday 8a-4p)
- We provide accommodation ribbons to attendees who identify additional needs that would make the event more accessible to them. We need the ribbon to remain meaningful for those who require the assistance, and do not want it becoming a desirable trinket.
- One of the most common requests for a ribbon is for the use of a chair while queueing. MAGFest does not allow, under any circumstances, the skipping of lines. Attendees with a ribbon may identify to staff/volunteers working the line that they require a seat. This enables them to hold their position in line while sitting in an available seat. Line skipping is never permitted.
- We log information for people borrowing wheelchairs and collect them back by the end of the event. We also serve as an information point, being a highly visible presence outside Registration. As a visible face of Mag, we want to help people the best we can, even if itβs outside our normal scope of work.
- Contrary to popular belief, we are not the Registration desk.
Quiet Room
Location: Azalea 3, between Public Safety and STOPS
Hours: Thursday 4p-2a, Friday & Saturday 10a-2a, Sunday 10a-2p)
- This is our quiet space that we staff throughout the event. MAGFest can be loud, crowded, and chaotic at times, so it is important that we provide a space where people can escape and decompress. We provide puzzles, coloring supplies, and some small sensory tools for anyone to use. We ensure the room remains as quiet as possible, that nobody is sleeping in the space, and do not allow this room to become a storage space for unattended items. We also identify and connect anyone needing assistance with the resources they need, whether it be the medical team, security, or text resources for mental health.
Elevator Ops (ELOPS)
Location: Roaming/varies, contact via Hotline (sidebar)

- ELOPS is a new team being prototyped at Super MAGFest 2025 to ensure those with limited mobility needs can get onto the elevator en route to their destination. If an elevator comes up full or the attendees in line try to cut in front of the person with limited mobility, ELOPS can be called to ensure the person in question can get onto an elevator safely.
