Departments grow and our time onsite at the Gaylord is limited, so taking inventory of gear is not always the first thing in mind while loading out for Super MAGFest. As we move forward over the next couple years I hope to be able to have people in from most departments to begin (or continue) a deep dive of gear inventories to have an overall view of what MAGFest stores in the warehouse.

Departments that have 1 full pallet of gear or more should get in the habit of scheduling an annual warehouse workday for a gear refresh during the year. This can happen anytime from March until early December. I need a minimum of one week's notice to guarantee that your pallets and gear can be accessible. There is also a warehouse access blackout 1 week before and after a smaller event (Stock, MAGCons, Promo events, etc…) so we can focus efforts on the event without interference.

I plan to use this time to work with department leadership to plan out pallets and storage needs better, and also begin incorporating department inventories that exist into a master sheet. We do not have immediate plans to begin a new inventory program, but we do want to begin the ground work so if/when we do begin a program we can upload things much easier.

A short list of things I want to go over with departments that store gear in the warehouse are:

  1. Audit of pallets and bins
    1. I will provide you with numbers of how many pallets, huskies, pelicans, gray bins, and storage containers you currently have
    2. I have counts of pallets but individual bin counts will take more time and be provided at a later date
  2. Proper packing and palletizing methods based on department gear
    1. Your pallets generally arrive at Super MAGFest the way they need to be repacked. Please start taking note of how things are arranged on each pallet your department has and work towards repacking accurately.
  3. Thoughts for better onsite gear deployment, separation, etc…
    1. How has receiving and returning your gear gone?
    2. Suggestions for efficiency/simplification?
  4. What growth you expect over the next ~3 years
    1. Do you anticipate needing more storage space?
    2. What can I do to talk you out of needing more storage space

For Department leaders that are new to setting up annual warehouse workdays, here are some rough ideas to work on during a warehouse workday:

  1. General inventory
    1. Do you know how many of what items you store?
  2. Sorting, condensing, and repacking
    1. Do you have anything stored with your gear that gets ordered on the DH checklist and should be accounted for?
      1. PPE
      2. Stops items
      3. Tech Ops items
    2. Do you have anything that can be thrown away?
      1. Small trash items can go in a trash can
      2. Medium to large items or boxes can be left by the bay door
    3. Do you need additional storage bins?

Let the warehouse manager know if you have any questions. While this is asked about on the annual DH checklist, this message and plans for more annual workdays is in regards to general warehouse inventory and management, not what is needed to get ready for Super
