Before Submissions Opens
- [ ] Review Judging & Submission emails, change any hardcoded values.
- [ ] Approve emails for studio created, game submission complete, the two reminder emails. Set the date on the reminder emails to when they should be sent out. (Usually 1 week before & 2 days before submission closing)
- [ ] Copy Showcase Mega Sheet from previous year, clear entries
During Submission Window
- [ ] Contact Victoria (or #devops) to import judges into this year’s reggie instance. Approve the judging welcome email before this is done - judges will get a reggie email saying an account has been created for them which without the context of judging welcome, may not make sense.
- [ ] Add new judges manually into the system. (See email note from above)
From submission close to judging start:
- [ ] Pre-flight - check that games work when installed, all rules (such as video length) are followed. If specific types of games need to be found (IE multiplayer) they should be noted as we go through.
- [ ] Judges complete their status update for the year. We can't assign them games until they have confirmed yes. Follow up with email if they don't by a certain time.
- [ ] Check if any judge (or staff) has submitted a game to MIVS. They must recuse themselves from participating in the judging process. This ensures the judging process is transparent and fair.
- [ ] Assign games to judges
During Judging window:
- [ ] If an email comes from reggie saying a game is broken, triage using the steps in Broken Game Resolution Procedure below
- [ ] 2 days before judging ends, judge wrangler should go through the judges and see who has not started their game. Send them an email asking if they need any help.
After Judging window: (Judging clean-up time)
- [ ] If any judge has not completed their games, send them an email asking if they need any help
