• FOR SUPER 2026: COVID POLICY

    • THE SHORT VERSION: SUPER MAGFEST 2026 WILL NOT REQUIRE MASKING OR PROOF OF VACCINATION TO ATTEND.
    • As of August 2023, Super MAGFest does not require masking or proof of vaccination in order to attend the event. We will continue to provide masks, hand sanitizer, reminder signage, and other supplies in order to facilitate a safer environment at-event. We will also continue to highly encourage the use of masking, including clarifying our anti-harassment policy to underscore that we will not tolerate harassment based on a person’s choice to wear a mask.
    • You can always defer your staff status for a year if you are unable to attend or abide by the policies at super.magfest.org/covid.
  • Where can I email questions, concerns, or comments regarding my staff room?

    • Please email [email protected]. You may also reply directly to your room assignment email.
  • Will I have roommates?

    • Yes, please plan to share accommodations. Your staff room will generally have two to three other staffers sharing the room.
  • Will I have a bed to myself?

    • It's unlikely that you will have an entire bed for the entirety of your reservation. That said, sometimes it happens due to no-shows.
  • Can I buy out my staff room?

    • Eligible staffers can reserve a room ahead of the attendee lottery. Please read through the policy here: Staffer Pre-Lottery Room Requests.
  • Why don't I have a room with my requested roommates?

    • We understand you may not have received the roommates you desired, and while we will try our best to accommodate requests for changes, the assignments are based on a complex and strict combination of:
      1. Matching room nights - Staff rooms are the largest budget item for Super MAGFest. This requires us to match people with the same selected nights as much as possible in order to minimize budget waste from empty spots in rooms each night.
      2. Roommate requests - Sometimes many people request the same person. Other times departments submit explicit assignments. This combined with the above frequently puts requests in direct conflict with each other.
      3. Assigned department - If the above are not in conflict, we try as much as we can to group people in the same department, but it is not always possible.
  • What happens if I have problems with my roommates onsite?

    • We keep emergency crash space in order to resolve staff room issues that arise during the event. If you have a severe problem with your roommates, please inform STOPS for immediate resolution.
  • Where can I go during the event if I have staff room issues?

    • Please visit Staffing Operations (Azalea 2) for immediate assistance.
  • What do I need to do if I’m staying on a shoulder night?

    • Shoulder (also called Edge) nights are the nights flanking the main event days (Wednesday night and Sunday night), used primarily by staffers working load-in and load-out. We expect all staffers using edge nights will work at least one load-in or load-out shift between 6pm-9am of their requested night.
    • If you have travel plans or extenuating circumstances that cause you to need lodging on an edge night, please email STOPS. We will do our best to accommodate staff needs where possible.
  • How do you prioritize roommate assignments?

    • We strive to create reservations that are fully accessible and will never intentionally room you with an anti-request. Next, we will group staffers together who have requested each other (and have identical room nights), and then match based departmental assignments and other shared preferences.
  • What if I do not arrive on time, or my plans have changed?

    • Staff hotel rooms are the largest cost of our events. It is important to fill out your hotel request accurately and communicate with STOPS about any changes. If you no-show on your expected first night of stay (i.e. no one in your room checks in before midnight):
    • The room will be cancelled and MAGFest will still have to pay for that night’s stay.
    • We may not be able to reinstate the room with the hotel for you (they have the right to sell the room if no one shows up by midnight), or utilize our inventory of crash space (dependent on availability) and if that occurs, you will be on your own for crash space.
    • You may not be allowed to apply for staff hotel crash space in the future.

    Please understand that we will do our best to accommodate any changes, but we need to know in advance in order to avoid fees or the loss of your room. Contact STOPS as soon as you know your plans have changed.

  • What if I have a caretaker or aide for accessibility reasons?

    • If you have a caretaker or aide that must be present with you in order for you to volunteer, please let us know. We are able to comp them a badge that will allow them access to the same function spaces you are able to as a volunteer (including Tea Room and Staff Suite).
    • If you are staff, we may be able to arrange for your +1 to stay with you in an onsite hotel room. Since the caretaker or aide will not be staffing, we may be able to facilitate a way for you to reserve a pre-paid room outside of the attendee lottery. Availability of rooms may be limited, and we may not be able to accommodate all requests
